
Objective
In response to the Sunshine Act’s* healthcare provider (HCP) reporting requirements, a medical device company with 37 offices globally tasked CWT Meetings & Events with selecting a technology solution to accurately capture and report on meetings and events data.
*The Sunshine Act is a United States healthcare law to increase transparency of financial relationships between health care providers and pharmaceutical manufacturers.

Challenge
The scope was vast and there was a need to reconcile the current issues such as the inability to capture HCP data across the organization; current technology tool did not support business requirements. There was also limited meetings and events expertise within the organization to source a technology provider, and a third party was required to write, manage and execute RFP, and manage the contractual negotiation process.
Solution
CWT M&E established a strategy to source a technology solution to meet business needs, which included designing and implementing a new assessment that would understand business needs and rate functionality by order of importance. Building a request for proposal for technology targeting and conducting an assessment on its suitability and engaging with technology providers based on key data findings.

Results
The results produced were as follows:
- Selected global technology solution with multi-language, regional adaptation to cater to global business needs.
- Saving client 29% over cost of competition and 17% from initial quote
- Provided data transparency to meet HCP reporting requirements, and internal audit requirements (transfer of value, financial records, etc.).
- Increased time efficiency by 25% in approving HCP meetings across all business entities and organizational-wide meetings.
